Responsibilities

Hines Luxembourg Investment Management Sarl is looking to recruit a Regulatory Reporting Officer. Reporting to the Corporate Finance Director you will support our day-to-day regulatory reporting activity of the AIFM and the managed AIFs as well as the registrar and transfer agency services provided for some of the managed Real Estate funds. You will be working closely with fund accounting teams, treasury, compliance, legal as well as 3rd party service providers. The role is based in Luxembourg.

REGULATORY REPORTINGS:

  • Assist in preparing various regulatory reporting documents relating to CSSF, BCL, CBI, FCA
  • Be the owner of the delivery of reporting to the regulators
  • Respect the deadlines of production regarding the monthly, quarterly, semi-annual and annual 
  • Manage the CSSF and the BCL comments following the Luxembourg regulations by applying various circulars published by the CSSF/BCL
  • Set-up reporting- related routines and procedures for collecting the required information
  • Keep updated the regulatory reporting calendar by coordinating the review of such overview with Compliance and external providers
  • TRANSFER AGENT ROLE:

  • Be the point of contact for fund teams in relation to the Transfer Agency activities
  • Process all requests for transactions including Capital Calls, Subscriptions, Redemptions, Distributions, Transfers etc.
  • Maintain and optimize Transfer Agency related processes, workflows, systems, and tools
  • Manage document repository system. Make sure Investors and transaction related documents such as Subscription Agreements, Capital call notices, Investor statement, TA Checks, etc. are complete, accurate, and up to date
  • Maintain the investors/share/unitholders register and ensure availability at any point in time, by recording capital events and commitments in real time
  • Reconciling cash entries with capital events and promptly escalate to management any breaks or non-compliance instances (. third-party payments)
  • Contribute to continuous improvement and standardization of processes including implementation of best practices and automation
  • Cooperate with internal and external stakeholders such as Fund teams, Accounting, Compliance, Legal, 3rd party service providers, etc.
  • Apply diligence, attention to detail, and respect deadlines
  • Qualifications

    Minimum Requirements include: 

  • Master’s or bachelor’s degree in accounting, finance, business/management, economics or audit
  • Five or more years of working experience in a similar position in Luxembourg
  • Knowledge of transfer agency concept within Real Estate
  • Advanced working knowledge of Microsoft Office (Excel, Access, Word)
  • Understanding of investment fund administration process
  • Able to provide work of high and consistent quality, often with tight deadlines
  • Commitment to self-improvement
  • Curious mind with the ability to grasp concepts in a short period of time
  • Fluent in English with the ability to concisely and effectively express complex topics in a written or oral fashion
